Hourly Rate Dependent Upon Experience

You will be required to work alongside our existing team in providing excellent secretarial/typing skills as well as organisational abilities. I.T. and customer care experience are essential, along with a flexible attitude and a willingness to help patients and assist with the needs of the primary health care team. NHS Pension is available and 5 weeks of annual leave.

Job Summary:



To provide general secretarial support to the Practice Business Manager, GPs, GP Registrars and Health Professionals involving word processing and audio typing skills with general clerical work.


The Practice uses SystmOne and most referrals are processed via ESR.  Dictation is processed through Lexacom Digital system.


Job Responsibilities:


  • To have a thorough knowledge of all Practice procedures.
  • To work in accordance of written protocols
  • To provide an efficient audio, copy typing and word processing service for GPs and Health Professionals as required. This includes the typing of referral letters, completing medical reports,  etc. in an accurate and quality manner
  • To assist the Practice Business Manager with all clerical and administrative duties.
  • To make appointments, bookings and admissions as required.
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To retrieve medical records and assist the completion of medical/insurance records.
  • File patient records and correspondence in patient medical records.
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • To maintain the computer clinic system in an accurate and secure manner.
  • To assist with the gathering of statistics and information when required.
  • To provide cover for members of the secretarial team during periods of sickness and annual leave.
  • In liaison with the clerk responsible, maintain adequate supplies of office stationery in order to perform your secretarial duties.
  • Process outgoing post and using the electronic Royal Mail System. 
  • Fax and photocopy as requested
  • Complete all checklists required
  • Liaise with internal and external health professionals
  • Keep Office Areas and Work Stations Tidy
  • Generate and Action Tasks
  • Shred confidential waste 
  • Open and Action E-mails on a daily basis
  • Log in to GPTeamNet on a daily basis
  • Attend monthly team meetings
  • Test fire alarms on a weekly rota basis
  • Any other tasks allocated by managers
